Introduction to using i-PLAN

 

TO LOG IN:

  1. http://www.ri.net/middletown/
  2. SMAX button or (http://www.ri.net/middletown/schoolmax/support/index.html)
  3. Select SchoolMAX iPLAN log in
  4. Enter your district (3019), operator number and password

 

TO CREATE A NEW PLAN:

  1. Select Create a New Plan in the right corner
  2. Search for the student by last name
  3. Select the student by selecting Choose Student
  4. Verify the student information (if you find any errors please notify your main office), scroll down and select Create New Plan
  5. Once on the create a plan page select the RI IEP from the drop down menu
  6. Enter the From date of the new IEP
  7. Select the case manager
  8. Select Create Plan
  9. You are now ready to begin working on the Management and IEP of the plan.

 

TO WORK ON AN EXISTING PLAN

  1. After you log in you will be on the My Plans page where you will see your existing plans
  2. You can search for a student by last name or scroll down and find the student’s name
  3. To open the plan select that student’s plan ID number on the right side (usually 0001)

THE PLAN MENU OPTIONS

Each case manager in Middletown will be responsible for completing two sections of the plan; the manage and IEP sections. 

When beginning an IEP you will need to complete the Manage Section of the plan.  Click on the + Manage to expand the window and manage options will appear.  Click on each of the options to work within it.  After you have completed the Manage section you will need to click on the +IEP to expand and work on each of the pages on the RI IEP.


 

 

THE MANAGE MENU

  1. Plan status:  Use this sections to change your plan status to active (when complete and has been signed off on) or historic (when the plan year is complete).  Also used to identify the type of plan (RI IEP) and the begin date of the plan.  You should also identify the others that have access to this plan.  District practice is to include your building principal, associate or assistant principal, special education coordinator (if applicable) and the student’s guidance counselor.  If the student is assigned a new case manager during the plan then the plan can be transferred here.  Please be sure to select update when making any changes.
  2. Case manager:  Complete your information here.  Please note that the information entered here can be set as a default for all of your plans.  If applicable, please enter your special education coordinator as your alternate contact information.  You will need to select save plan to save your changes.
  3. Student: The information on the student section is “pulled” from SchoolMAX.  If you see an error please report it to your main office.  In the mean time, you can update the information here for the plan purposes only.  The data that appears here will be the data that prints on the IEP.  You will need to select save plan to save your changes.
  4. Team: The team members are the actual participants of the plan.  The parent information is entered on the student form (see step 3).  The members of the district can be added to a district list.  Eventually you will be able to search for district members and not need to enter all of their data.  (Whenever possible, please add members with last name, first name.  You will need to select save plan to save your changes.
  5. Plan index:  The plan index provides a summary of all forms that have been created for this student and their status.
  6. District Defined Forms:  Currently there are no Middletown specific forms.

 

THE IEP MENU

You will have to select each page to work in it.  Please be sure to select save plan as you complete each page.  You can save multiple page 3’s if you need to add additional goals and/or objectives.  You can also create your own personal goal bank so that you can reuse goals and objectives in other student’s plans. 


 

 

 

FREQUENTLY ASKED QUESTIONS

 

1.    How can I keep informed of the updates that are being done to i-PLAN?

2.    Who must be included in the list of i-PLAN users that will have access to the IEPs?

Access should be given to your building principal, associate or assistant principal, the student’s guidance counselor and the special education level coordinator.

 

3.     What protocol do I follow to enter team member names?  The names should be entered last name, first name.  Also, please use the district email addresses for the contact email address.

 

4.    What set up for printing do I need to have?

Before you print the IEP you should change you printing set up in Internet Explorer to landscape and remove the header and footer.  If you are prompted to install a plug and play utility please select yes to install it.

 

5.     What do I do if the data I pull into an IEP is incorrect (wrong address, etc.)? Please report any incorrect information to your building clerk.  You can fix this information in the IEP but the clerk will need to fix it in SchoolMAX so that the next the data will be correct.

 

6.     What part of i-PLAN am I supposed to be using?  As an IEP comes due teachers are to try to create the new plan in i-PLAN.  The special education teacher or case manager should complete the manage and iep sections of the plan.  Teachers/case managers are not expected to complete or use any other forms at this time.

8.     Do I have to be at school to work on an IEP?  No, you can work on an IEP in i-PLAN from any Internet ready computer.

 

9.     Who do I report i-PLAN problems and concerns to?  Please report problems and concerns to the technology department.  As always, please submit any questions or support needs there as well.
